Enable Google Drive Integration
To be able to use the Google Drive Integration it first needs to be enabled in your environment from the Integrations page. Risk Cloud Admin Users can access the Integrations page by navigating to "Admin">"Integrations".
Once the Google Drive Integration has been enabled it will allow users to add Google Drive attachments via attachment fields in Risk Cloud.
Using Google Drive Integration with Attachment Fields
Once enabled, when a user is on a Record there will now be an option to add a Google Drive attachment by adding an Attachment Field to a Record, and clicking "Browse Files".
When the integration is disabled, users will not be able to see the Google Drive option when clicking "Browse Files" and will not be able to add Google Drive documents to the field.
After clicking "Google Drive", a modal to complete the Google authentication flow will be brought up. To access Google Drive files authentication must be completed. This authentication is on an individual user basis, and will pull up access to the specific users Google Drive account.
Once authenticated a user will be able to see their Google Drive files via the Google Picker interface. Here, the file of interest can be selected, and it will be added to the attachment field.
Once added to the attachment field the user will be able to open the document and make edits in Google Drive.
Note: We do not actually store google drive documents in the Risk Cloud for this use case. This is essentially a link to google drive. We do not allow downloading so that risk cloud users cannot bypass Google Drive permissions.
- Clicking on the document title or "Edit in Google Drive" will open the document in a new tab
- "Delete" will delete the document from Risk Cloud but NOT from Google Drive
Notes
Documents added via Google Drive Integration cannot be directly downloaded from Risk Cloud so as not to circumvent Google Drive permissions. The download button in Risk Cloud will only appear for documents directly uploaded but not for those added with Google Drive.
Google Drive documents will not appear in Message Operations that include that attachment field in the body of the Message (Email, Slack, etc.).
Disable Google Drive Integration
If there is a desire to no longer use the Google Drive integration, it can be disabled by an Admin user from the Integrations page. Doing so will trigger a warning that new attachments can no longer be added via Google Drive, but existing attachments can still be opened.
