How to use Table Reports to export data to XLSX or CSV, as well as download attachments.
To export data, you'll need to create a Table Report based on the appropriate Workflow(s) and underlying Field(s) that contain data within those Workflows. Please review this article for an overview of how to create a Table Report.
Exporting Record Data from a Table Report
Once you've developed the appropriate Table Report to export data from, navigate to that Table Report. At the bottom of the Table Report, you'll see two download options (CSV and XLSX). If at least one Attachment Field is included on the Table Report, you'll see the ATTACHMENT option as well.
CSV
-
This option is preferred for quicker downloads, especially when dealing with high numbers of Records and/or Fields.
-
Note: selecting download CSV will not download the attachments themselves, but will include the attachment names. See below for downloading attachments.
XLSX
-
This option will download data directly into an Excel (.xlsx) file versus the above (.csv). Most modern versions of Excel or Google Sheets will be able to open these file types.
-
Note: selecting download XLSX will not download the attachments themselves, but will include the attachment names. See below for downloading attachments.
Exporting Record Data Asynchronously from Table Reports
For some customers with a lot of data in their table reports, asynchronous downloads are the preferred method for exporting table report data. Asynchronous exports will include the same data our standard export provides, but the process happens behind the scenes, and will send you an email when your export is complete!
You can enable asynchronous exports using the "report settings" tab while editing a table report. This setting will only be applied to that specific table report.
When it is enabled, the help text will inform users to check their email:
When the export is complete, the user who initiated the export will receive the following email:
NOTE:
- Only the user who initiated the export will have access to the exported data.
Exporting Individual Attachments from Table Reports
Exporting individual attachments is also possible via Table Reports. Navigate to the Table Report and select the attachment name. Doing so will prompt the download to your local drive.
Exporting Multiple Attachments (Bulk Downloading) from Table Reports
You can bulk download multiple attachments from a Table Report by clicking the ATTACHMENTS button, as indicated below. A ZIP file download will be initiated containing attachment(s).
If you have multiple pages on your table report, clicking "Attachments" will give you the following options:
"Download all attachments" will download attachments from every page in your table report.
"Download attachments on this page" will ONLY download the attachments appearing on the current page of the Table Report.
NOTE
- The file names will be prepended with an ID unique to the attachment, and appended with versioning (e.g., z9c2n3u1_Filename.docx_v1.docx)
