How to find the history of changes made to a record 

As records move through the Steps of a Workflow and are edited by different users as they perform work, it can be important to know what changes were made to the record and by whom. This information can be found by accessing the Record History of the Record.

View Record History

Accessing Record History

Record History can be accessed by clicking the file box icon on the right side panel on the record page of the Record. This will open the History panel on the right side of the screen, displaying both the Field History and the Record History:

Field History

From the Field History section, users can review the history of data updates within fields on this record. The section displays:

  • Which Field was updated
  • What the new value of the Field is
  • Which user made the change
  • What time the change was made

Users can also download a CSV file containing the most recent changes to Fields in the Record by clicking the "Download Field History CSV" button.

Record History

The Record History section displays the history of status changes on this record in its workflow. It shows information on:

  • When and by whom a Record was created
  • When and to whom a Record was assigned or unassigned
  • When and by whom a Record was moved to a new Step
  • Creation and linking of audits related to the record

Users can download a CSV file of the Record History by clicking the "Download Record History CSV" button.

Additional Notes

  • The History panel will remain open as you navigate between records, with the content refreshing to show the relevant history for the current record
  • The History panel displays the same information for all users with appropriate permissions; however, the History icon may not appear for external or public users

Accessing Record History 

Record History can be accessed by clicking the clock icon at the top-right of the Record. This will display both the Field History and the Record History.

Field History

From the Field History section, users can choose to download a CSV file containing the 1,000 most recent changes to Fields in the Record. The file will include information on: 

  • Which Field was changed

  • What the new value of the Field is

  • Which user made the change

  • What time the change was made

The Record History section will display information on:

  • When and by whom a Record was created

  • When and to whom a Record was assigned or unassigned

  • When and by whom a Record was moved to a new Step
