How to quickly generate and review AI-powered linking recommendations for large amounts of Records using the Bulk Link feature.
In Risk Cloud, you often need to relate large volumes of data to other objects without knowing exactly which records should be linked. For example, when your organization adds a custom control set, you may need to determine which framework requirements (such as ISO 27001) each control should map to. Record Linking Recommendations generates linking suggestions for a single record from that record's step. Bulk Link's AI Recommendations extends that same logic to many records at once, whether an entire workflow or a filtered subset. You can then review and accept the suggestions individually or in bulk.

In order to use Bulk Link’s AI Recommendations, you must:
- Enable the OpenAI Integration from the Admin > Integration page.
- Enable the Record Linking Recommendations toggle from the Admin > AI Control Center page.
- Belong to a Role that has been granted the Bulk Link Records entitlement.
- Refer to the Module Entitlements for Roles article for more information on Entitlements.
- Have Edit access to at least one step in each of the workflows you want to compare.
- Refer to the Permission Sets article for more information on step access.
Generate Linking Recommendations in Bulk
1. Navigate to Work > Link Records using the navigation bar at the top of the page.
2. Click Link Records.
3. In the New Link Records Instance modal, select the two mapped Workflows that contain records you want linked together, then click Create Instance.
4. On the Link Records Instance page, select the LogicGate AI option.

5. Under Review Comparison Fields, click Review Configuration. In the Edit field comparison panel, review and edit the fields LogicGate AI will use to compare records in each workflow, then click Save comparison.
- You may select up to 6 fields per workflow.
- If Primary and Summary Fields have been configured for your workflows, they will be selected automatically. You can adjust these selections before generating recommendations. Refer to the Set Summary Fields in Workflows article for more information on Summary Fields.
- The following field types are available as comparison fields: Text, Text Area, Text Concat, Select, Radio, Checkbox, and Multiselect.
Tip: Choose fields that best describe each record, such as names, descriptions, or categories. The more descriptive the fields, the better the recommendations.
6. (Optional) Under Apply Filters, add filters to your source workflow to narrow down which records will receive recommendations.
If no filters are applied, recommendations will be generated for every record you have access to in the source workflow. LogicGate AI linking has a limit of 1,000 records, so filters are a helpful way to stay within the limit for larger workflows. The number of records currently in scope is displayed above the filter options.
7. Click Generate Linking Recommendations.
Recommendation generation runs in the background, so you’re free to navigate elsewhere in Risk Cloud, or log out entirely, while LogicGate AI works. Your results are saved and will be waiting for you when you return.
As they are generated, results will appear on the Bulk Link Recommendations page in real time. You can also track the status of your instance from the Link Records history page, where it will display a status of Generating Recommendations.
8. When generation completes, the instance status on the Link Records history page will change to Ready for Review, and all results will be available on the Bulk Link Recommendations page.
Review and Accept Recommendations
1. From the Link Records history page, click the AI Recommendations tab, then click Review next to your instance to open the results page.
2. The results page opens with an Analysis Summary, showing the workflows evaluated, the number of records in each, and how many records received strong matches. Below the summary, every evaluated record is listed with its Match Confidence, alongside the comparison fields used to generate the recommendations.
- Use the search and filter options to narrow the list, or filter by match strength to view only records with Strong Matches, Possible Matches, both, or records with no recommendations at all.
- Records that are already linked will not appear in your recommendations.
3. Open the Match Details panel to review any record’s individual recommendations. Each recommendation includes a match percentage, a confidence label, and a Match Rationale explaining why LogicGate AI suggested the link. Click View Record to open the recommended record, or See record details to view its field values.
- A Strong Match (90-100%) indicates a high degree of relevance between the records.
- A Possible Match (60-89%) suggests a meaningful but less certain relationship worth reviewing.
- Records scoring below 60% will not be returned as recommendations.
4. Accept recommendations using any of the following options:
- For a single record row:
- Link Record: accept a single recommendation from within an expanded record row.
- Link All: accept every recommendation within an expanded record row.
- For the entire table:
- Link Strong Only: accept every Strong Match recommendation across the entire instance.
- Link All: accept every recommendation (both Strong and Possible Matches) across the entire instance.
When linking in bulk, a confirmation dialog will display the total number of record pairs that will be linked. Click Confirm to create the links.
Once records are linked, you will receive a confirmation notification, and each fully linked record’s Match Confidence column will display All Matches Linked. You can view or remove a record’s links at any time from the Linked Records tab within its expanded row. All links created through Bulk Link’s AI Recommendations are recorded to Record History, just like links created manually.

Linking Recommendation Statuses
The following statuses are possible for an AI linking instance:
- Generating Recommendations: LogicGate AI is generating recommendations for your records
- Ready for Review: Recommendations have been generated and are ready for your review
- System Error: An unexpected error occurred – please try again or reach out to customer support
Who Can Review and Link Recommendations
Any user with the Bulk Link Records entitlement and Edit access to at least one step in both workflows can accept recommendations and link records.
Data Processing
The fields you select for comparison will be used to generate recommendations. Refer to the Spark AI in Risk Cloud article for more information on how your data is processed.
Workflow Mapping Requirement
Bulk Link's AI Recommendations only supports workflows connected via a Many to Many Workflow Mapping. Workflows connected with One to One, One to Many, or Many to One mappings are not eligible for AI-generated linking recommendations. Refer to the Connecting Workflows Together article for more information on Workflow Mappings.
Re-Using Previous Results
If you generate recommendations again between the same two workflows, Risk Cloud will re-use the results from your previous run rather than regenerating them, as long as the comparison fields and record data have stayed consistent. If the comparison fields or record data have changed since the previous run, a new set of recommendations will be generated.
Frequently Asked Questions
How many records can I generate recommendations for at once?
You may generate recommendations for up to 1,000 records in a single instance. If your workflow contains more than 1,000 records, apply filters to narrow the scope. Please note that processing time will vary based on the number of records included.
Can I run more than one AI Recommendations instance at a time?
Yes, you can kick off multiple Bulk Link AI Recommendations instances at a time. Instances will be queued and processed in the order in which they were triggered.
Why do I not see the workflow that I want to select?
You can choose from workflows where you have Edit access to at least one step. Additionally, you must select two workflows which are connected via Workflow Mappings. Refer to the Connecting Workflows Together article for more information on Workflow Mappings. Please note that Bulk Link's AI Recommendations only supports Many to Many Workflow Mappings.
Do I have to accept every recommendation?
No. Recommendations are just that: recommendations. You can accept as many or as few as you’d like, and you can return to your results at any time to continue reviewing.
Can I undo links created from recommendations?
There is no way to undo a bulk linking action all at once, so think before you link! Individual links can be removed manually from the Linked Records tab within a record’s expanded row.
How do I know when my recommendations are ready?
You can monitor the status of your instance from the AI Recommendations tab on the Link Records history page, where it will display Ready for Review once generation completes. If you stay on the Bulk Link Recommendations page, results will populate into the table as they are generated.
My colleague says they completed a Bulk Link AI Recommendations instance, but I do not see it listed on the Link Records history page. Why is that?
If you are unable to see instances created by other users, you may not have Edit access to at least one step in both Workflow 1 and Workflow 2 for the instance. Refer to the Permission Sets article for more information on step access.
