When to edit an Application, a Workflow, and a Step
When to edit an Application
You should make edits at the Application level if:
-
You want to change the Application name
-
You want to make edits to the Application icon or color
To do this, navigate Build > Application. Click the gear icon in the right hand corner of the Application and click Edit.
When to Edit a Workflow
You should make edits at the Workflow level if:
-
You want to change the Workflow name or the Record Prefix that shows up in the system generated Record Name field. Records created in a Workflow with a Record Prefix Risk will be named as shown in the second image below.
-
You want to enforce User Groups for more granular access restriction.
-
You want to change the Workflow relationship mappings or add a Workflow mapping. These mappings allow you to link Workflows together in the front-end and enable you to create Linked Workflow Sections and Relationships Reports.
-
You want to enable or update the SLA (Service Level Agreement) at the Workflow level. A SLA will specify the time within which a Record in a Workflow has to be completed.
When to Edit a Step
You should make edits at the Step level if:
-
You want to enable or disable a Step as an Origin Step. Designating a Step as an Origin Step will allow you to create records from this Step on the Home Screen.
-
You want to enable or disable a Step as a Public Step. A Public Step means that you can request or capture information from anyone via a Public link - regardless of whether they have access to the Risk Cloud platform.
-
You want to grant Permission Set access to a Step. Note: for every new Step you create, you'll need to grant Permission access in order for users to see the Records in that Step. If you do not grant Permission Set access to new Steps, then Records currently in that Step will not be visible to you or other users in the system.
-
You want to enable or update the SLA (Service Level Agreement) at the Step-level. This will specify the time within which a record must be completed once it enters a Step.
-
You want to re-configure your forms. Double click into the Step you want to update and you will be taken to the Step builder page. From here, you can update the layout of your form by dragging and dropping Fields to different Sections and Subsections. You can also create new Fields or remove Fields you no longer need.
-
Note: When you're making form changes such as the placement of Fields, Section and Subsections, or Field level settings such as making a field Read-only - these changes will not auto populate in other Steps. This means that you will have to re-create those changes in another Step or copy the Section over.
-
You want to update your Paths routing (default, Conditional Edge Paths or Selected Redirects).
