Learn the basics of adding document versions, viewing version history, and managing document versions
Attachment Fields come with built-in file versioning features that allow you to track versioning history of a document.
Add a New Document
To upload a new document, you can either drag and drop a file from your computer into the drop zone or browse for the file on your file system.
In the example below, the document 'CSR Strategy.docx' was uploaded. You'll notice this document is added as a Record under the drop zone and is now labeled as v1.
A given Attachment Field can support many "parent" documents. If you would like to add a different document to the same Attachment Field, simply click Upload another attachment.
Note: There is a 100 MB file size limit on files that can be imported into Risk Cloud. Here is a list of file types not supported by Risk Cloud.
Add a New Version for an Existing Document
If you have made changes locally to a document and would like to upload the new version to Risk Cloud, you have the option to enable document versioning.
As an end-user if the “New Version” button appears to the left of your document name, then you can drag and drop the new file over the “New Version” button or click the button to browse on your local file system.
After uploading the file, you'll notice that the version number is incremented to v2.
Manage Versions
To view a document's version history, click the > next to previous version below the attachment. The version history will expand to show the version number, the name of the original file uploaded, the user who uploaded the file, and the time of upload.
You can download each version by clicking the Down Arrow icon to the right of the file. File versions can be removed by clicking the Trashcan icon. Note that versions will be renumbered when a prior one is deleted.
Disable Document Versioning
If you want to disable document versioning, you’ll need Build access in order to do so. On the Step Form, navigate to your Attachment Field and click the Pencil icon to edit. A pop-up modal will appear. On the “Options” tab and deselect “Enable Versions”. Click Save Field to close the modal.
Your Attachment Field will display as follows to end-users without the option to add a new version:
Rename a Document
To rename the document, click the Gear icon, then Rename item in the menu.
This will present you with a text box to rename the file. After renaming a file, if a user clicks on the parent document filename to download the document, the file will be downloaded using the edited name.
